How does delivery work?
Start with the current process and the decision the software needs to support. Agree a first workflow, check technical feasibility, then build and test against written acceptance criteria. Review a working increment before widening scope. Deployment and handover follow the agreed acceptance checks.
What integrations need to be checked?
Identify existing APIs, authentication, data ownership, import formats and permissions. Access to a test environment and representative data affects feasibility. For AI, discuss evaluation examples, privacy constraints, model-provider costs and how uncertain outputs reach a human reviewer. An integration cannot be confirmed from a product name alone.
What determines cost and timing?
User roles, workflow count, migrations, integrations, test coverage and operational requirements drive the estimate. AI evaluation and unavailable third-party APIs can add discovery work. Share a target date and its constraints; milestones should follow a scope review rather than a universal delivery promise.
Who owns and supports the system?
Before work begins, agree the source-code and design handover, repository access, hosting accounts, third-party licences and deployment responsibilities. Define bug-fix coverage, monitoring, response expectations and future changes in the written scope. Ongoing support and usage charges need an explicit agreement.
